Account information. When you register, we collect your first name, last name, phone number, and email address. These are used to create and identify your account across the SysWise platform.

Application data. Each app you use may collect data specific to its function — for example, task records in TaskWise, match scores in CricWise, expense entries in PayWise, health metrics in HealthWise, and schedule data in DayWise.

Usage data. We collect standard server logs including your IP address, browser type, pages visited, and timestamps. This helps us diagnose issues and improve performance.

Communications. If you contact us by email or through the contact form, we retain that correspondence.

We use the information we collect to:

• Create and manage your account and authenticate you across apps via our Single Sign-On (SSO) system.
• Provide, operate, and improve our applications and services.
• Enable shared features such as group expense splitting, group cricket teams, and collaborative task management.
• Send service-related notifications (e.g., password resets, account updates).
• Diagnose technical problems and monitor the security and performance of our systems.
• Comply with legal obligations.

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

We do not share your personal data with external parties except in the following circumstances:

• Within SysWise applications. Your name and phone number may be visible to other users within shared groups or teams (e.g., a cricket team or a PayWise expense group) that you have joined or been added to.
• Service providers. We use hosting infrastructure (Hetzner Cloud) and may use third-party tools strictly for operating our services. These providers are bound by confidentiality obligations.
• Legal requirements. We may disclose information if required by law, court order, or to protect the safety or rights of SysWise or its users.

We retain your account information and application data for as long as your account is active. If you request deletion of your account, we will delete or anonymize your personal data within 30 days, except where retention is required by law or for legitimate business purposes (e.g., financial record-keeping).

Our web applications use browser local storage to store authentication tokens (e.g., syswise_token) so you remain logged in between sessions. We do not use third-party advertising cookies.

We may use essential session cookies to maintain secure authenticated sessions. You can clear these at any time through your browser settings, though doing so will log you out.

We take reasonable technical and organisational measures to protect your data, including:

• HTTPS/TLS encryption for all data in transit.
• Hashed password storage (passwords are never stored in plain text).
• JWT-based authentication with expiry controls.
• Access restrictions — production databases are not publicly accessible.

No method of transmission over the internet is 100% secure. We encourage you to use a strong, unique password and to notify us immediately at syswise.lk@gmail.com if you suspect unauthorised access to your account.

You have the right to:

• Access the personal data we hold about you.
• Correct inaccurate data by updating your profile in account settings.
• Delete your account and associated data by contacting us.
• Object to certain processing of your data.

Our services are not directed at children under 13. We do not knowingly collect personal data from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
